About the Role

We are looking for a highly organized, proactive, and reliable Executive Assistant to support our entire C-level team, based in our Munich HQ.

This is a central and highly visible role at the core of the company. You will work closely with our leadership team, ensure smooth day-to-day operations, and act as the backbone of executive coordination.

At the same time, you will take ownership of office operations and the overall workplace experience, acting as the face of Circus for external partners, guests, and visitors.

Beyond classic executive support, this role offers the opportunity to leverage modern tools, improve workflows, and actively shape how we operate as an organization — including automation and AI-driven processes.

Excitingly, we will be moving into a new office & R&D Campus in Munich this year — giving you the opportunity to actively shape and build our future workplace environment from the ground up.

Your Daily Business

Executive Coordination
  • Manage and coordinate complex calendars across the C-level team
  • Organize meetings, align priorities, and ensure smooth daily operations
  • Plan and coordinate domestic and international travel
Meetings & Communication
  • Prepare and coordinate executive meetings (logistics, rooms, participants)
  • Ensure structured follow-ups and smooth communication across stakeholders
  • Act as a central coordination point between leadership and teams
Office Operations & Workplace Experience
  • Take ownership of the office environment and ensure smooth daily operations
  • Help shape and set up the new office space and workplace experience
  • Create a professional, structured, and welcoming environment
  • Coordinate internal processes related to office and executive operations
Guest Experience & Representation
  • Act as the first point of contact for external guests, partners, and visitors
  • Represent Circus with professionalism and attention to detail
  • Ensure a seamless and high-quality experience for all external interactions
Events & Culture
  • Plan and coordinate company events, team gatherings, and leadership offsites
  • Support initiatives that strengthen company culture and collaboration
Tools, Processes & Innovation
  • Leverage modern software tools to streamline workflows and daily operations
  • Identify opportunities to automate recurring tasks and increase efficiency
  • Support the implementation of new tools and systems
  • Contribute to building a modern, tech-enabled operating environment

Base Qualifications

  • Experience as an Executive Assistant, Office Manager, Front Office Manager, or similar role, ideally supporting senior stakeholders
  • Background in hospitality, guest relations, or front office is a strong plus
  • Strong organizational skills with high attention to detail
  • Proven experience managing calendars, travel, and complex coordination
  • Interest in tools, automation, and improving processes
  • Comfortable working with modern software and digital workflows
  • Professional, discreet, and highly reliable
  • Strong communication and interpersonal skills
  • Hands-on mindset and ability to thrive in a fast-paced environment
  • Proficiency with tools like Google Workspace, Microsoft Office, Slack, etc.
  • Native-level German and fluent English required
